3 Business Systems You Need in Your Online Business!
In today’s video, I want to talk about 3 essential business systems that you need in your online business. If you’re new here, I’m Louise of Louisehenry.com. #1 – Project Management System
The first on my list of business systems that you must have is a project management system. For the first few years of my business, I managed to somehow get away without having a very good project management system, and it made things a whole lot more difficult for me and made my progress a lot slower. Since then, I’ve found a much easier way to ensure that all of my projects get done, that I feel organized, and that I know exactly what I need to do every single day.
My favorite for this is Asana – of course there are a lot of others – there’s Trello, ClickUp, and all these other ones that I can’t think of right now – but Asana definitely takes the number one spot for me. The most important part here is that you get organized and that you implement some timesavers into your business. In Asana, I’m templating everything that I can. For example, if I need to create another YouTube video, I have a template of the steps that I need to follow in order to make that happen. This way, I’m not having to struggle to think of what to do every single time I need to create a new video. That is just one example of what a project management tool will allow you to do. I really think that once you switch to a digital project management tool and you have all of your tasks laid out for your projects, it’s going to be a whole lot more likely that you get them done, and that you hit your biggest goals.
#2 – Lead Follow-Up
The next on my list of business systems that you need is a way of following up with leads. I actually like to automate this process, which is why I’m such a huge fan of building up your email list. By getting people on your email list, you can actually automate the follow-up, and you can let them know more about you and what you have to offer. This is what’s known as a sales funnel - but rather than having a sales funnel that has all these moving pieces, like the upsell, downsell and all this crazy stuff - I recommend just starting with keeping it super simple and automating the follow-up so people know what the next step is in terms of becoming a client with you, or buying your product. Really, I’ve made so much money simply by remembering to follow up, so capturing those emails and following up with leads is super important. For tools, you can use something like ConvertKit or Kartra.
If you’re doing something that is a bit more manual or one-on-one, that is totally fine as well. That’s where system number one - having a project management system - comes back into play. Even if you’re not using email marketing for this purpose, then what I recommend is you have a lead-tracker of some form in your project management system where you can track who you followed up with and who you still need to follow up with.
#3 – File & System Organization
Finally, the last on my list of business systems that you need is file organization. It’s kind of boring, but it’s very important. So much time can be spent searching for the right file, and you really want to cut down on that. For this, I recommend that you use Google’s suite of tools, so Google Drive and Google Docs. This is going to allow you to store all of your files online and have them easily accessible by all of your team members.
This also allows you to have one version of the file, not multiple different versions out there, mismatching each other. You’re going to have one working file that everyone can collaborate on. This is going to save you a lot of time as well.
Now, when it comes to systems, next it’s time for you to keep this organized. I can be terrible at this – really bad at keeping all of my projects organized and color-coded - so you’ve really got to be tough with yourself and make sure that you are organizing each one of your files into folders and color-coding whenever you can.
